InSync Set-up For Patient And Associate Uploads

This article will discuss the basics of setting up InSync to send patient and associate database information to the Emdat servers. By uploading this information you can automate the process of filling in patient or carbon copy information which cuts down on the amount of information that needs to be dictated and transcribed. This will save time and prevent errors.

To begin this tutorial, make sure you have downloaded and installed the InSync application. The installation link can be found here:
http://www.emdat.com/software/insync.asp
And the full manual can be found here:
http://www.emdat.com/insyncmanual/insyncmanual.htm

After running the program for the first time, you are prompted to fill in your Client Name and Password. These two pieces of information are necessary to continue for a normal InSync installation.

In addition to these fields, there is a field for Export Password, shown below labeled "A". This password is necessary in order to upload patient and associate files. This password is available to users of InCommand under Client Maintenance > Client Defaults > Client Information.

Patient Upload Page Instructions

After inputting this information, click on the Data Transfer tab and then the Patient File sub-tab to bring up the following screen:

B - This is the interval of time that InSync checks for a new Patient file to upload. If you are going to upload a patient file then make sure this number is greater than 0. Lower numbers will check for files more often, but will take up more system resources.

C - Select the format of the upload. The options are
Format 1: Fixed Width, 2-digit State
Format 2: Fixed Width, 3-digit State
Format 3: Comma Delimited
Format 4: Client Custom

More information about these formats can be found in the document found here:
http://www.emdat.com/download/Emdat%20File%20Layout.doc

D - If the Patient File will always have the same name and be found in the same location on the computer, type the file path here including filename; or click the "..." button to browse to the file and click OK.

E - If after upload you would like the Patient File from part "D" to be moved to a new location, type the file path including the filename here; or click the "..." button to browse to the file and click OK. Note: if the patient file upload will be performed on a regular basis, only the last file sent will be saved.

F - This feature should remain unchecked. More information can be found in the Word document in part "C".

G - If you have a location on the computer where Patient Files for upload will be stored, but they do not all have the same exact name, then instead of entering information into part "D", type the file path of those Patient Files in this field; or click the "..." button to browse the folder where they will be found and press OK.

H - This is similar to part "E", but for the situation where each file will not be named the exact same filename. Type the file path to store files from part "G"; or click the "..." button to browse the folder and click OK.

Associate Upload Page Instructions

After inputting this information, click on the Data Transfer tab and then the Associate File sub-tab to bring up the following screen:

I - This is the interval of time that InSync checks for a new Associate file to upload. If you are going to upload an associate file then make sure this number is greater than 0. Lower numbers will check for files more often, but will take up more system resources.

J - Select the format of the upload. The options are:
Format 1: Fixed Width, 2-digit State
Format 2: Fixed Width, 3-digit State
Format 3: Comma Delimited
Format 4: Client Custom

More information about these formats can be found in the document found here:
http://www.emdat.com/download/Emdat%20File%20Layout.doc

K - If the Associate File will always have the same name and be found in the same location on the computer, type the file path here including filename; or click the "..." button to browse to the file and click OK.

L - If after upload you would like the Associate File from part "K" to be moved to a new location, type the file path including the filename here; or click the "..." button to browse to the file and click OK. Note: If the associate file upload will be performed on a regular basis, only the last file sent will be saved.

M - If you have a location on the computer where Associate Files for upload will be stored, but they do not all have the same exact name, then instead of entering information into part "K", type the file path of those Associate Files in this field; or click the "..." button to browse the folder where they will be found and press OK.

N - This is similar to part "L", but for the situation where each file will not be named the exact same filename. Type the file path to store files from part "M"; or click the "..." button to browse the folder and click OK.

After inputting these settings, press OK to save them. InSync will now attempt to upload the files into the Emdat Server Database at the intervals you selected.
